Cold Calling Shippers: What to Say in the First 20 Seconds

A shipping manager at a decent-sized manufacturer gets five to fifteen broker calls a day. They've heard "we have great rates and great service" so many times it registers as silence. You don't win the call with enthusiasm, you win it by sounding like someone who knows their freight.

The opener that earns 20 more seconds

"Hi Dana. Omar with a freight brokerage out of Ohio. I know you get broker calls all day, so I'll be quick: do you handle the outbound truckload freight, or is that someone else?" That's it. Be specific, be brief, and sound like a vendor they already work with. Late afternoon and 7:30-8:30 AM calls skip gatekeepers entirely more often than mid-morning ones.

Questions that uncover freight

Once you're talking to the right person, stop pitching and start asking: "What lanes give your current brokers trouble?", every shipper has one. "When capacity got tight last quarter, did your rates hold?" "Who covers you when your primary can't?" That last one is the door: almost nobody wins freight as the primary on call one. You win it as the backup who answered at 4:45 PM on a Friday when the primary went quiet.

The cadence that actually converts

The industry numbers are boring and true: most shippers say yes somewhere between touch four and touch eight, and most brokers quit after two. Call, then follow with a short email the same day ("good talking, here's my direct line, I'll check back around your Q4 bid"). Touch them every 2-3 weeks with something specific: a lane you just covered near them, a market note on their region, a straight "got trucks in your area Thursday, anything moving?" Specific beats clever every time.

When they finally say "quote me something"

Answer within the hour. The first quote is a test of speed as much as price. Quote it, state your terms plainly, and if you win it, run it flawlessly, because the second load is decided entirely by the first.
